Managing merchants & MIDs
Merchants and MIDs are the foundation of your book of business in MySplitPay. Every commission, ledger entry, and payout ultimately traces back to a MID. This guide explains how merchants and MIDs relate, how to add and maintain MIDs, how to link account representatives to them, and where they appear throughout the app.
Merchants and MIDs: the hierarchy
Section titled “Merchants and MIDs: the hierarchy”Two terms sit at the center of everything you do on the platform:
- A merchant is a business that accepts payments — the customer at the end of the chain. A merchant is the business itself, not a single processing account.
- A MID (Merchant ID) is an individual processing account that belongs to a merchant. One merchant can process through several MIDs — for example, one per location, brand, or processor.
The relationship is one-to-many: a single merchant can have many MIDs, but each MID belongs to one merchant. MIDs are the level at which processing activity, rates, and commissions are actually tracked.
MIDs are not sensitive identifiers, so the platform shows them in full rather than masking them. You’ll see the MID number displayed openly across the app.
How MIDs are organized
Section titled “How MIDs are organized”You manage your processing accounts directly on the MIDs page. Each MID carries a DBA name — the business or location label that identifies which merchant and location it belongs to (for example, “Metro Coffee — Downtown”). You use that DBA name to keep related MIDs recognizable and grouped by eye.
Before you start
Section titled “Before you start”- You need to be signed in to an ISO account with access to the MIDs area.
- To link an account representative to a MID, that rep must already exist. If you haven’t added your reps yet, see Managing account representatives.
Where MIDs come from
Section titled “Where MIDs come from”There are two ways a MID enters MySplitPay:
- Imported from a processor report. When you upload a processor residual file, MySplitPay reads the MIDs and DBA names it contains and brings them into your account automatically. This is the most common path once you’re processing volume. See Uploading reports for how reports flow in.
- Added manually. The exception rather than the rule — used to set up a MID (and its rep relationship) before the first report arrives. See Adding a MID manually.
Adding a MID manually
Section titled “Adding a MID manually”You’ll rarely need to do this. MIDs are created automatically when you upload processor reports — every MID in a report lands in your account on its own, no data entry required. The one reason to add a MID by hand is to set up a relationship ahead of time: create the MID before its first report arrives so you can assign the account rep and their split now, and commissions are metered correctly from the very first report.
- Open the MIDs page from the main navigation.
- Select Add MID in the top-right corner. A panel slides in from the side.
- Enter the MID Number. This is required.
- Optionally enter a DBA Name — the business name or location label. You can leave it blank and fill it in later.
- Select Add MID to save.
The new MID appears in the table right away.
The MIDs page
Section titled “The MIDs page”The MIDs page lists every processing account in your book. It’s mostly a read-only overview — you review MIDs here and click into any one of them to make changes.
At the top, a quick-stats row summarizes your total MIDs, how many are assigned to at least one rep, and how many are unassigned.
Each row shows:
- MID — the processing account number.
- DBA Name — the business or location label.
- Account Rep — the rep (or reps) linked to the MID, or an Unassigned tag if none are linked yet.
- Created — when the MID was added.
To find a specific account, use the search box on the left of the filter bar (it matches on MID number, DBA name, or rep name). Toggle Unassigned only on the right to focus on MIDs that still need a rep. Longer lists are paginated.
Select any row to open that MID’s detail page.
Linking account representatives to a MID
Section titled “Linking account representatives to a MID”Account representatives are linked at the MID level, and each link carries the commission rate and the period it applies to. This is how a rep starts earning on an account.
To link a rep:
- Open the MID from the MIDs page.
- In the Account Reps section, use the Search account reps to assign box to find a rep by name or email.
- Set the rate (as a percentage) and the start period (the month the assignment begins).
- Choose the rep from the results to link them.
The rep now appears in the MID’s account-reps table, showing their email, start period, end period, and rate.
Editing an assignment
Section titled “Editing an assignment”The account-reps table is editable inline. You can adjust a rep’s rate, start period, or end period directly in the row. Leave the end period blank to keep an assignment ongoing. When you have unsaved edits, a Save Changes button appears — select it to apply them.
To stop a rep from earning going forward without erasing their history, set an end period on their row.
Removing a rep from a MID
Section titled “Removing a rep from a MID”Select the remove control on a rep’s row. MySplitPay asks how you’d like to remove them:
- End the assignment as of a period you choose — the rep keeps everything they earned up to that point.
- Remove permanently — takes the rep off the MID entirely.
Editing a MID’s details
Section titled “Editing a MID’s details”Open a MID and select the edit (pencil) control next to its name. You can update the DBA Name here. The MID number itself is fixed once the account is created and is shown read-only.
Deleting a MID
Section titled “Deleting a MID”To remove a MID, open it and select Delete, then confirm. Deletion is permanent, but commission history is preserved — past earnings and records tied to the MID remain intact for reporting and payouts.
Where merchants and MIDs surface across the app
Section titled “Where merchants and MIDs surface across the app”MIDs are referenced throughout MySplitPay. Once your accounts are set up, you’ll see them in several places:
- Commissions — the commissions view groups earnings by account representative. Expand a rep to see a per-MID breakdown, with each MID’s number, name, rate, and total commission. See Commissions & residual splits.
- Ledgers — each rep’s ledger records the entries that make up what they’ve earned and been paid, traced back to the MIDs behind them. See Ledgers.
- Transactions — individual entries display the MID they relate to, and you can search transactions by MID. See Transaction reporting & statements.
- Reports — uploading a processor residual file is what brings MIDs, DBA names, and the volume behind them into the platform in the first place.
- Processors — processor reports carry the MID and DBA name for each processing account. MySplitPay uses those to match incoming data to the right MID. Managing processor connections is covered separately at the product level.
