Ledgers
Each account representative in your organization has a ledger, the record of everything you owe them. Every commission they earn, every credit or deduction you apply, and every payout you issue lands there as a dated entry.
What a ledger represents
Section titled “What a ledger represents”A ledger is a single rep’s account with your ISO. Its balance is the amount you currently owe that rep, and it moves as entries are added:
- Commissions are earned as the rep’s assigned MIDs process transactions. They’re added when reports are processed.
- Credits and deductions are adjustments you record by hand, such as a bonus or a chargeback clawback.
- Payouts are the money you actually send the rep, which draws the balance back down.
There’s nothing to set up. A rep’s ledger starts showing entries once their first reports have been processed and commissions calculated.
Ledger entries
Section titled “Ledger entries”Every line on a ledger is one entry, and each entry has a type. The four types are color-coded the same way across the app:

Credits and deductions are the only entries you add yourself. Commissions arrive when reports are processed, and payouts are recorded when you issue them.
Ledger periods
Section titled “Ledger periods”Ledgers are organized by month. Commissions are grouped into the month they apply to, payout history is shown month by month, and the period filter on a rep’s ledger works in monthly buckets.
Each entry carries two dates, and the difference matters when you’re reading the transaction table:
- Effective date: the month the entry actually belongs to (for a commission, the month it was earned). The period filter and monthly grouping use this date.
- Created date: when the entry was recorded in the system, which may be later than the effective date if you’re catching up on a past month.
Balances
Section titled “Balances”A rep’s balance is what you owe them right now: everything earned, plus credits, minus deductions and everything already paid out.
Each row in a rep’s transaction table also shows a running balance, the balance as it stood after that entry. Read from oldest to newest, it shows exactly how the current figure was reached, which is the easiest way to reconcile against a rep’s own records. Here’s one month of a ledger, ending at a payout that settles the balance:

Reading the ledger list
Section titled “Reading the ledger list”The Ledger page shows one row per account representative. A summary strip across the top gives you three portfolio-wide numbers:
- Total Outstanding: the combined balance you owe across all reps.
- Active Reps: how many reps currently carry a balance.
- Total Payouts: everything you’ve paid out to date.
Below that, the table lists each rep with their current Balance, their Last Payout amount, and the Last Payout Date. You can search by name, sort by any column, and page through the list when you have more reps than fit on one screen. Sorting by balance shows who’s owed the most, and sorting by last-payout date finds reps overdue for a payment.
The Payout button on any row jumps straight into issuing a payment to that rep. Clicking anywhere else on a row opens that rep’s full ledger.


Reading a rep’s ledger

Balance and payout history
Section titled “Balance and payout history”The Current Balance card at the top shows what you owe the rep, how many MIDs are assigned to them, and the date of their last payout. Beside it, a small chart plots their payouts over the last six months.
The summary cards
Section titled “The summary cards”A row of cards breaks the balance down into its parts:
- Commissions: total earned, and from how many merchants.
- Deductions: total applied against the balance.
- Total Earned: commissions and credits combined.
- Total Paid: everything issued to the rep as payouts.
The transaction table
Section titled “The transaction table”Every entry on the ledger appears here. Use the controls above the table to narrow it down:
- Search matches a merchant name (DBA), a MID, or the notes on an entry.
- Type filters, shown as pills for All, Commissions, Deductions, Credits, and Payouts, isolate one kind of entry.
- Period presets on the right filter by month: This Month, Last Month, Last 3 Mo, YTD, and All. Choose Custom to pick a specific month or a range of months from the calendar.
Each row shows the entry’s Effective and Created dates, its Type (a colored chip), a Description (the merchant and MID for commissions, or your notes for manual entries), the signed Amount, and the running Balance after that entry. You can sort by effective date, amount, or balance, and page through longer histories.
Opening an entry
Section titled “Opening an entry”Click any row to open a panel with that entry’s full detail: amounts, dates, and notes. Credits and deductions can be removed if they were recorded in error, and a payout recorded by mistake can be deleted entirely — though an issued payout is never partially edited (see Payouts). Imported commissions can’t be deleted from the ledger; they disappear only if the report behind them is deleted or the rep’s MID assignment is permanently deleted.
Adding a credit or deduction
Section titled “Adding a credit or deduction”To record a manual adjustment, use Add Transaction on the rep’s ledger. Choose Credit or Deduction, set the effective date, enter the amount, and add a note explaining it. The balance and the summary cards update as soon as the entry is saved.
Exporting
Section titled “Exporting”The Export button on a rep’s ledger downloads their entries as a spreadsheet-friendly file. The export includes each entry’s running balance, so the totals match the balance shown on screen. Use it to share a commission report or to reconcile outside the app.
The Export button on the main ledger list downloads a per-rep summary instead — one row for each account rep, with columns for Account Rep, Commissions, Deductions, Total Earned, Total Paid, and Balance. It respects the search you’ve applied, so a filtered list exports only the reps you can see, and the file is date-stamped (for example, ledger-2026-07-24.csv). Account representatives who export get only their own row.
