Managing merchants & MIDs

Every commission, ledger entry, and payout in MySplitPay traces back to a MID. This guide explains how merchants and MIDs relate, how to add and maintain MIDs, and how to link account representatives to them.

The platform tracks your book of business at two levels:

  • A merchant is a business that accepts payments. The merchant is the business itself, not a single processing account.
  • A MID (Merchant ID) is an individual processing account belonging to a merchant. One merchant can process through several MIDs, for example one per location, brand, or processor.

The relationship is one-to-many: a merchant can have many MIDs, but each MID belongs to one merchant. Processing activity, rates, and commissions are tracked at the MID level.

MIDs aren’t sensitive identifiers, so the platform shows them in full rather than masking them.

You manage your processing accounts directly on the MIDs page. Each MID carries a DBA name, the business or location label that identifies which merchant and location it belongs to (for example, “Metro Coffee — Downtown”). Consistent DBA names keep related MIDs easy to recognize in a long list.

  • Sign in as an ISO owner or admin. MID management is part of the ISO console; the rep portal doesn’t include it.
  • To link an account representative to a MID, that rep must already exist. If you haven’t added your reps yet, see Managing account representatives.

There are two ways a MID enters MySplitPay:

  1. Imported from a processor report. When you upload a processor residual file, MySplitPay reads the MIDs and DBA names it contains and adds them to your account automatically. Once you’re processing volume, this is how nearly all MIDs arrive. See Uploading reports.
  2. Added manually. Used to set up a MID and its rep relationship before the first report arrives. See Adding a MID manually.

You’ll rarely need this. MIDs are created automatically when you upload processor reports, with no data entry required. The reason to add one by hand is to set up a relationship ahead of time: create the MID before its first report arrives, assign the account rep and their split now, and commissions are calculated correctly from the very first report.

  1. Open the MIDs page from the main navigation.
  2. Select Add MID in the top-right corner. A panel slides in from the side.
  3. Enter the MID Number. This is required.
  4. Optionally enter a DBA Name, the business name or location label. You can leave it blank and fill it in later.
  5. Select Add MID to save.

The new MID appears in the table right away.

The MIDs page lists every processing account in your book. It’s mostly a read-only overview: you review MIDs here and click into one to make changes.

At the top, a quick-stats row summarizes your total MIDs, how many are assigned to at least one rep, and how many are unassigned.

Each row shows:

  • MID: the processing account number.
  • DBA Name: the business or location label.
  • Account Rep: the rep (or reps) linked to the MID, or an Unassigned tag if none are linked yet.
  • Created: when the MID was added.

To find a specific account, use the search box on the left of the filter bar (it matches on MID number, DBA name, or rep name). Toggle Unassigned only on the right to focus on MIDs that still need a rep. Longer lists are paginated.

Account representatives are linked at the MID level, and each link carries the commission rate and the period it applies to. This is how a rep starts earning on an account.

To link a rep:

  1. Open the MID from the MIDs page.
  2. In the Account Reps section, set the Commission Rate (%) and the start period (the month the assignment begins) in the fields beside the search box.
  3. Type the rep’s name or email in Search account reps to assign.
  4. Choose the rep from the results. The assignment is created with the rate and period you set.

The account-reps table is editable inline. You can adjust a rep’s rate, start period, or end period directly in the row. Leave the end period blank to keep an assignment ongoing. When you have unsaved edits, a Save Changes button appears; select it to apply them.

To stop a rep from earning going forward without erasing their history, set an end period on their row.

Select the remove control on a rep’s row. MySplitPay asks how you’d like to remove them:

  • End the assignment as of a period you choose. The rep keeps everything they earned up to that point.
  • Remove permanently, which takes the rep off the MID entirely and erases that assignment’s commission data. Reserve it for correcting data-entry mistakes; to stop a rep from earning while keeping their history, end the assignment instead.

Open a MID and select the edit (pencil) control next to its name. You can update the DBA Name here. The MID number itself is fixed once the account is created and is shown read-only.

To remove a MID, open it and select Delete, then confirm. Deletion is permanent and removes the MID’s rep assignments with it, so the commissions it produced disappear from the Commissions view and from rep ledger balances. Payouts you’ve already issued are not deleted.

Where merchants and MIDs surface across the app

Once your accounts are set up, you’ll see MIDs in several places:

  • Commissions: the commissions view groups earnings by account representative. Expand a rep to see a per-MID breakdown, with each MID’s number, name, rate, and total commission. See Commissions & residual splits.
  • Ledgers: each rep’s ledger records the entries that make up what they’ve earned and been paid, traced back to the MIDs behind them. See Ledgers.
  • Transactions: individual entries display the MID they relate to, and you can search transactions by MID. See Transaction reporting & statements.
  • Reports: uploading a processor residual file is what brings MIDs, DBA names, and the volume behind them into the platform in the first place.
  • Processors: processor reports carry the MID and DBA name for each processing account, which is how MySplitPay matches incoming data to the right MID. Managing processor connections is covered separately at the product level.
